What are submissions? |
|
Submissions are a means
of communication within the Department. There are two kinds of
submissions, namely submissions that are prepared in response to
Ministerial or DG tasks (see the section
M&DG Tasks
),
and
submissions that originate from within the Department.
Submissions consist of at
least a Route Form & Memorandum, in which background information can
be included. Draft letters have to be included, if so requested by
the Minister or DG. These submissions are placed in different
colored folders, depending on whom they are addressed to.
Submissions addressed to the Minister are placed in brown folders
and those addressed to the DG, in green folders, while the
Commission on the Restitution of Land Rights, uses blue folders for
all their submissions. |

How are submissions recorded and controlled? |
|
Once a submission has
been submitted by the functionary, it is recorded on the
Directorates' database on Microsoft Access, now called the "Voorleggings"
control system.
The above system allows the Directorate the scope of being able to
record the nature of the submission, who it is from (functionary),
who it is intended for (Minister or DG), various important dates,
and the comments of the DG and Minister.
The system allows the staff within the Directorate, the ability to
search for a specific submission, and look-up all the relevant
information relating to the submission.

Is there a standard format for Submissions? |
|
A
standard format for submissions has been created, in order to ensure
uniformity and a high quality.
The Directorate scrutinises each and every submission to ensure that
it conforms to the standard.
